WiGS

1. The Wimbledon classical Guitar Society (WiGS, “we”) is an unincorporated community club that aims to nurture and promote excellence in amateur classical guitar playing, whilst sustaining and growing for future generations. We arrange and hold concerts and member sessions, classes and workshops.

2. WiGS is committed to protecting and respecting the privacy of its members and customers and to meeting its data protection responsibilities. Our ICO Registration Certificate can be found at ico.org.uk/register by searching our reference ZC008515.

3. This Privacy Policy (last reviewed on 9th October 2025) describes the ways in which WiGS collects, uses, discloses, and manages the data of its members and customers. 

4. We may modify this policy at any time, so please review it from time to time. Changes and clarifications will take effect immediately upon their posting on our website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

The information that we collect and how we collect it

5. We collect information relating to our members, to our website subscribers, and to people who buy tickets for and attend our concerts, as necessary for the organisation and management of our activities.

6. In relation to our members, we collect information when people join us and when they take part in our activities. This might be when someone completes an enquiry form (e.g. on our website) or when they contact us to enquire about joining us. Subsequently we collect information about which of our activities our members take part in, so that we can organise those activities as best we can. 

7. The information that we collect about our members covers:

a. Name and contact details (telephone and email address);

b. How people heard about us;

c. Summary information as to playing standard and background;

d. Joining and, when applicable, leaving dates;

e. Home location, and address for those hosting member sessions;

f. Availability for and attendance at our activities;

g. Member subscriptions due and paid; and

h. Management Committee and other roles undertaken.

 

8. We do not collect payment information in relation to member subscriptions as these are paid by members directly to our bank account.

9. In relation to our website subscribers and concert attenders, we receive, collect and store:

a. Information entered on our website or provided in other ways. 

b. Website visitor location (Internet Protocol address), device type, and pages visited, through the website’s Real-time Analytics feature, though this data is anonymized, sensitive information like passwords is not collected, and the data collected is limited if visitors do not accept cookies or use ad blockers. 

c. We may use software tools and cookies to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. 

d. When a website visitor buys ticket(s) for a concert, they fill out a form which collects their first name, last name and email address (all required fields). This information is necessary to complete the ticket purchase, issue the ticket(s), and facilitate entry to the concert. Payment can be made through Apple Pay or Google Pay, for which payment is encrypted by the respective provider. For credit card payments, the information required is the payment card number, expiration date, CVV code, and the card holder’s name and address, all of which is securely processed through the customer’s chosen payment provider. Our website does not store credit card details on its servers but uses secure, encrypted connections to process payments. Customers may choose an option to save credit card details for future transactions, but this is only done with the customer's consent and is securely managed.

Our use of the information that we hold

10. We use the information that we hold for our members to:

a. Manage our membership records, so that we can keep track of who our members are, and how many we have of various types (playing student, community); 

b. Organise our member activities (e.g. our sessions, classes, workshops and social events) to meet the needs of our members and to cater for the numbers wanting to take part in each activity; 

c. Share information with our members about:

i. Our activities, which we do through our website (e.g. upcoming events) but also through our WApp community and groups, and occasionally by email; and

ii. How we are organised (e.g. our constitution, management committee, roles, and elections for those roles); and

d. To issue Subscription Notices for payment of member subscriptions, and to follow up as necessary in relation to subscription payments.

11. We use the information that we hold for our website subscribers and concert attendees to:

a. Keep you informed about our upcoming events by sending out newsletter emails from our website;

b. Monitor visits to our website so that we can optimise both the website itself and the effectiveness of our promotion of our events;

c. Take payments and issue tickets for our concerts and events;

d. Admit ticket holders to our concerts and events; and

e. Maintain attendance records for our concerts and events.

How we store, share and disclose your information

12. Our website is hosted on the Wix.com platform. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications which store your data on secure servers behind a firewall.  

13. All direct payment gateways offered by Wix.com and used by WiGS adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information.

 

14. We do not share your information with any other third party, club or organisation, unless you have specifically requested us to do so.

How we communicate with you

15. We may contact you (normally by email) to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect monies owed, to poll your opinions through surveys or questionnaires, to send updates about WiGS, or as otherwise necessary according to applicable national laws and any agreement we may have with you.

Your consent to our holding your information

17. We rely on your consent to process the information that we hold. We will generally keep your information for a minimum of 6 years, after which time it will be destroyed if it is no longer required for the lawful purpose(s) for which it was obtained. You can, at any time, withdraw your consent or ask us to stop sending you newsletters and other information, by emailing us at markatwigs@gmail.com or by completing the “Contact us” form on the website. You can also “unsubscribe” using the link at the foot of our emails.

18. We will comply with any such request as soon as we are able, informing you of its effect on how we are able to interact with you.
